Smart Haul TMS / Features
Tolls nobody quoted. Phone calls nobody logged. Invoices nobody sent until Sunday. Paperwork nobody filed. Carriers calling to ask what a screen could tell them. Here's what each one looks like inside the system.
Routing
Toll money is the line item nobody quotes and everybody eats. Smart Haul prices every lane against a national interstate corridor map at 5-axle rates, and always returns at least two ways to run it — so a dispatcher can trade $104 of turnpike against ninety minutes of clock and see the number before committing.
Cheapest total, fastest with tolls, or strictly toll-free — recalculated per lane, not per state.
Interstate corridor graph across the lower 48, with facility-level toll rates for the major turnpikes and bridges.
The chosen route's toll cost lands on the load record, so it flows into your margin and the carrier's settlement.
A shareable version your carriers and owner-operators can use without a login.
Gary, IN → Philadelphia, PA 5-axle
Communications
Dispatch lives on the phone. Smart Haul puts the phone system inside the TMS: real extensions on your own numbers, click-to-dial from any carrier or driver record, recordings and voicemail attached to the load — and the broker's email thread filed right beside them. When a dispatcher is out, the next person opens the load and sees the entire conversation.
Extensions, ring groups, after-hours routing, call recording, voicemail-to-text and a shared call log.
Two-way SMS with drivers and brokers from a company number — never a dispatcher's personal cell.
Connect Gmail or Outlook and threads auto-file to the matching load, carrier or broker.
Staff chat with channels per shift, so hand-offs stop happening in group texts.

CRM · Stage 3Billing & accounting
The moment a POD is accepted, Smart Haul writes the invoice — the dispatch fee to the carrier at their agreed percentage, and the freight invoice to the broker on the carrier's behalf. Both post to QuickBooks Online with the load number intact, so your bookkeeper stops reverse-engineering deposits.
Agency → carrier and carrier → broker are separate ledgers with their own aging and statements.
Two-way sync of customers, invoices, bills and payments. Match a deposit once and it stays matched.
Driver pay, advances, escrow, fuel and deductions produce a settlement the driver can open in the app.
Batch, submit and reconcile factored invoices without a second spreadsheet.

Paperwork
Drop in a rate confirmation — emailed, uploaded, or photographed by the driver — and Smart Haul reads the broker, load number, stops, appointment windows, rate and accessorials, then opens the load pre-filled. A dispatcher's job becomes checking four fields instead of typing twenty.
Rate confirmations, BOLs, PODs, broker invoices and lumper receipts — PDF or phone photo.
Built-in OCR runs free on every plan; an AI reading pass is available when accuracy matters more than pennies.
Every document lands on its load, its carrier file, and the invoice packet the broker asks for.
Missing-document alerts before billing, so nothing sits uninvoiced because a POD never showed up.

Fleet & drivers
Carriers get their own login: current loads, documents, settlements, driver pay history, IFTA miles, maintenance and the compliance file with every expiry date on it. Drivers get the app — status updates, check calls and a camera that files the BOL where it belongs. The phone stops ringing for things a screen can answer.
Loads, documents, settlements, safety file and equipment — branded to your agency.
iOS and Android. Status, check calls, photo documents, settlement history, offline-tolerant.
DQ files, medical cards, MVRs, COIs, annual inspections — alerts 30 days out.
PM schedules by mileage or date, repair orders and cost per unit.
